Welcome to Lingua CoPilot Medical! This Privacy Policy describes how information (including personal data) is collected, used and shared through your institution's use of our website and clinical simulation platform (collectively, the "Service").

Lingua CoPilot Medical provides clinical communication, team coordination, and structured clinical reasoning simulations for nursing colleges, medical schools, hospitals, simulation centers, and other healthcare institutions.

The Service is offered only through institutional agreements. We do not provide individual subscriptions or direct-to-consumer access.

If you are an individual user, your account is created and managed by your institution. Your institution controls access, configurations, and retention settings for your organization.

The Service is operated by Falconicx Technologies Private Limited ("Company", "we", "us", "our"). By using Lingua CoPilot Medical, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our policies and practices, please do not use our Service.

1. Terms and Conditions of Service

Your use of our Service is governed by our Terms and Conditions, which can be found at:Terms and Conditions. By using Lingua CoPilot, you also consent to these Terms and Conditions.

2. Information We Collect

2.1 Information Provided by Institutions and Users

• Account Information: When institutions register for accounts, we collect information provided for account creation. Individual users may sign in via institutional credentials or single-sign-on services. When using Google or Microsoft single-sign-on, data those companies provide is also subject to their privacy policies.
• Voice Recordings: When using our platform features, we record voice input to provide the Service.
• Profile and Usage Information: Information such as clinical role, learning goals, preferences, performance analytics, conversation history, etc.
• Institutional Information: Information about the institution, authorized administrators, and institutional settings.

2.2 Enquiries and Access Requests

This section covers people who contact us through the access request form before any account exists. If you have submitted a request on behalf of an institution, this is the section that applies to you rather than section 2.1.

• What we collect: the institution name and type, your name, your email address, your phone number if you choose to provide it, the estimated number of users, and anything you write in the optional use case field.
• Why we collect it: to review and qualify the request, and to contact you about Lingua CoPilot Medical. We do not use enquiry details for advertising.
• Automated verification: submissions are checked by Cloudflare Turnstile to prevent automated abuse of the form. To perform that check, Cloudflare receives technical signals from your browser, including your IP address, a TLS fingerprint, your user agent string, our site key, and the associated origin of the page you submitted from. Cloudflare states that Turnstile does not use this information for cross-site tracking or advertising. Cloudflare's handling of this data is governed by its own privacy terms.
• How long we keep it: we keep enquiry details only for as long as they are needed to evaluate the request and follow up on it. When they are no longer needed for that purpose, we delete or anonymize them.
• Your choices: you can write to support@linguacopilot.in at any time to ask what enquiry details we hold about you, to correct them, or to ask us to delete them.

2.3 Information We Collect Automatically

• Usage Data: We collect information about how the Service is used, including features used, time and duration of sessions, and conversation scenarios.
• Device Information: We may collect information about devices used to access our Service, including device type, operating system, browser type, and IP address.
• Log Data: Our servers automatically record information created by use of the Service.

2.4 Cookies and Similar Technologies

We use Cookies and similar technologies to operate the Service and to understand how our public website is used. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept Cookies, you may not be able to use some portions of the Service.

2.5 Website Analytics

We use Google Analytics 4 on our public website only. This means our marketing and information pages, such as the home page, station pages, guides, and the access request form.

Google Analytics is never active inside the simulation product itself. No conversation content, transcript, assessment score, feedback report, learner identifier, or any other clinical or educational activity is ever sent to Google. This exclusion is enforced in our application code, not by configuration alone.

To be precise about how that works: analytics is not loaded at all when you open the product directly. If you move from our public website into the product in the same browser tab, the analytics code already in memory is switched off before it can record anything, and no page view or event is recorded for any page inside the product.

On our public website, Google Analytics collects:

• A randomly generated identifier stored in the cookies _ga and _ga_<stream>. These expire two years after your most recent visit, because the expiry is renewed each time you return. This identifier is not linked to your name, email address, or any account
• Approximate location: country, region, and city
• Device category, operating system, browser, screen size, and browser language
• How you reached the site, such as a search engine, a referring website, or a direct visit
• Which pages you viewed, how long you spent on them, and how far you scrolled
• A small number of specific actions on our public pages, such as starting or successfully submitting the access request form, downloading a guide or resource pack, starting or completing a video or audio recording, revealing a section of a guide, completing a step in a guide, answering an optional one-tap question, and selecting an email, contact, or related-page link. For a submitted request we also record the institution type you selected from the dropdown, which is a broad category such as "Nursing College". For an optional one-tap question we record only the option you selected. Private selections made inside a guide, such as discussion judgments, are never sent

Your IP address is used by Google only to derive that approximate location and is then discarded. It is not stored in or retrievable from our analytics data. We do not send names, email addresses, phone numbers, or institution names to Google.

The web address of each page is filtered before it is sent. Only recognised campaign parameters are kept; any other information in a link's query string or fragment is removed rather than passed to Google.

We have disabled Google Signals and advertising personalization on this property, so your visit is not used to build a cross-site advertising profile. Analytics data is retained for 14 months.

If you prefer not to be included, you can install the Google Analytics Opt-out Browser Add-on, block analytics cookies in your browser, or use any standard content blocker. The website works normally either way.

3. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve our Service
• Manage institutional accounts and user access
• Personalize experience by tailoring conversation scenarios and feedback
• Analyze and improve conversation partners and feedback algorithms
• Monitor usage of our Service for technical administration and improvement
• Communicate with institutions about service-related matters
• Respond to comments and questions
• Protect the security and integrity of our Service
• Enforce our Terms of Service and other policies

4. How We Share Your Information

We may share information in the following situations:

4.1 Service Providers

We may share information with third-party vendors and service providers who help us deliver our services, such as cloud storage providers, analytics services, and technical support services.

This includes Cloudflare, which provides the automated abuse check on our access request form. The technical signals it receives are described in section 2.2.

4.2 Institutional Access

Institutional administrators have access to usage data and analytics for users within their institution for educational and administrative purposes.

4.3 Legal Requirements

We may disclose information if required to do so by law or in response to valid requests by public authorities (e.g., a court or government agency).

4.4 Business Transfers

If we are involved in a merger, acquisition, or sale of all or a portion of our assets, information may be transferred as part of that transaction.

5. Data Retention

We will retain information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

For conversation recordings and transcripts, we generally retain this data for 90 days after creation, after which they may be automatically deleted unless downloaded. Basic usage metadata may be retained longer for analytical and improvement purposes.

Institutional agreements may specify different retention periods for institutional data.

6. Data Rights and Responsibilities

6.1 Institutional Responsibilities

Institutions are responsible for:

• Obtaining appropriate consents from users (students, faculty, employees) for data collection and use
• Managing user access and permissions within the institution
• Complying with applicable privacy laws and regulations for their jurisdiction and user population
• Informing users about data practices as required by institutional policies

6.2 User Rights

Depending on location and institutional policies, users may have certain rights regarding their information:

• Access and Update: Users can access and update certain information through their account settings
• Data Portability: Users may have the right to request a copy of their data
• Deletion: In certain circumstances, users may request deletion of their information

Users should first contact their institution regarding data rights. Institutions can contact us to manage user data requests.

7. Data Security

We have implemented appropriate technical and organizational measures to protect the security of information. However, please note that no method of transmission over the Internet or method of electronic storage is 100% secure.

8. Children's Privacy

Our Service is used by educational institutions for students of various ages. Institutions are responsible for ensuring appropriate consents and compliance with children's privacy regulations applicable to their user population.

We do not knowingly collect information from children outside authorized institutional use.

9. International Data Transfers

Information may be transferred to, and processed in, countries other than the country in which users reside. These countries may have data protection laws that are different from the laws of users' countries.

If you are located outside India and choose to use our Service, please note that we transfer and process data in India. By using our Service, you consent to these transfers.

10. Platform-Specific Considerations

10.1 Lingua CoPilot Medical

Healthcare institutions using the Medical Platform are responsible for:

• Ensuring compliance with applicable healthcare privacy regulations
• Obtaining appropriate consents for healthcare training data
• Implementing institutional policies for simulation data handling

The Medical Platform handles simulation data for training purposes only, not actual patient healthcare data.

10.2 Additional Agreements

Where required by institutional policies or regulations, separate Data Processing Agreements or Business Associate Agreements may be established to address specific compliance requirements.

11. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify institutions of any material changes and update the "Last Updated" date on this page.

Institutions are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
